Get ahead with time management part ii

Important things are milestones that have significant meaning. Important milestones may have an impact on business decisions, results or future activities. You know which items are urgent to complete and which ones are important to you, but do you allocate your time accordingly? Review your list of 'Things to do Tomorrow' and annotate the items that are urgent or important. If something has an urgent deadline then write down the date and time that it must be completed next to the item on the list. If something is important then give it a rating. Some people use a rating scale of 1, 2 or 3. Some people prefer to use an asterisk or a star to identify an important task, adding more stars as the significance increases. The list and the rating belong to you, so mark it in the manner that has meaning to you. Keep It in View One common mistake of making a priority list is putting it out of the way once it is done. Some people will take the time to make a list and then close up the notebook or fold up the piece of paper and put it out of the way. Out of sight is out of mind. Once you have started this process, you should have two lists at your fingertips every day. One is your list of things to do today, and the other is your list of things to do tomorrow. The most effective way to manage your lists is to keep them in a notebook or daily calendar and place it prominently on your desktop. The list contains the items that are urgent and important to you, so it should be in plain sight as a constant reminder and for easy reference. Celebrate Accomplishment How do you celebrate accomplishment? Check off each one of the milestone tasks as you get them done. Do you feel the sense of satisfaction? How can you reward yourself for keeping commitments that you have made on your list? Some people celebrate by taking a short walk from the desk to get some fresh air. Some people celebrate with a cup of coffee or a snack from the vending machine. Some important accomplishments deserve to be rewarded by a nice lunch or fancy dinner. Treat yourself with something special when you complete a commitment that you have made to yourself. Go on, don't be shy, you are worth it. I am social and cannot stand to be couped up by myself all day. I take my laptop and work at the library, park or coffee shop. Eventhough the people there are not working with me per se, they make my work feel less like drugery. Ask yourself why you are procrastinating. Do you hate what you are about to do? Is there anyway you can make it tolerable? 4. Learn to say "No" to opportunities and requests that take your time and don't move you forward towards goal attainment. To the extent feasible, saying "no" is an important safeguard of your time. Doing so with courtesy and conviction will make it easier to say "yes" at a later date and simultaneously affirm your commitment to yourself to follow through on your scheduled activities. This also means shutting your door so people do not just aimlessly drop by to chat. 5. Just do it My mentor once told me to just do 15 minutes. You can do anything for 15 minutes. If after 15 minutes you are still miserable, stop. I nearly always found that I started intending to only do 15 minutes and 2 hours later I was emerging from the study. Yu can also set aside one day each week to do the dreaded tasks. For me it was chart reviews. I would spend every Friday doing chart reviews. 6. Set a schedule Some people do not like rigid schedules, but most people do well with some sort of routine. Once you finish your goals for the day, relax. Life is a marathon, not a sprint. If you reward yourself for a job well done, you will be more motivated to plow through what you have to do each day. 7. Identify your "high energy" times Everyone in my family is a morning person. We are most focused, energetic and productive before 2pm. For me, 4:30am is a great time. For my kids and husband it is more like 8am. Nevertheless, if you can work during your peak hours, you will get things done a lot more quickly. I have held several jobs that allowed me to set my own schedule. The companies got a lot more out of me because I could take advantage of my personal rhythms. Many companies are moving toward performance based work instead of presence based work. 8. Email Have one email for work and one for home. This will prevent you from getting sucked into email la-la land. Have people communicate withyou by email. They are much more likely to be direct if they have to type. Additionally, you have a record of your conversation to which you can refer back. Just remember your email etiquette. ALL CAPS or using multiple punctuation marks is quite rude and construed as yelling and generally throwing a tantrum!!!!!!!!!!!!!!!!!!!!!!!!!!!!!! Since there is no chance for vocal inflection, it is better to make emails overly polite. 9. Get enough rest Without adequate rest it is difficult to concentrate and you will make needless mistakes. Keep a pad and pencil by your bed to jot down anything that comes into your mind so you do not dwell on it and you can rest more easily. 10. Get interns Most professional colleges (engineering, building construction, counseling, addictions, rehabilitation) require students to have done at least one internship before entering the program and then two more while in the program. This is free labor. WHen students apply for an internship with you, just make sure you have a job description and get references from at least 1 professor and 1 prior employer to make sure they won't waste your time. They NEED a good recommendation from you so they usually go above and beyond the call to do a good job. Try implementing these things for yourself and in your office. You will find that you save a lot of time and have higher morale and productivity.

The Art of Effective Time Management

So many things to do, so many books to read, so much to study, so much you want to accomplish-and so little time! You've heard the joke. "I try to take one day at a time, but lately several days have attacked at once." Sometimes, that's how it feels if you don't practice proper time management. There's so much to do and you're already burning the candle at both ends, yet you never seem to finish everything you set out to do, everything you need to do. The Spanish have a proverb that says, "Time is short, but wide." That means we all have the same twenty-four hours each day; it's what we do with it that matters. So what do you do when there's so much demanding your attention and seemingly not enough time to get it all done? First, in order to use your time wisely, it's essential to find out where you waste time. Maybe it's watching television or playing computer games, or even talking on the phone. If you work at home, you may find that well-meaning family and friends can waste a great deal of your working time. It's hard to make them understand that just because you work from home; it doesn't mean you are always available to them. You need to prioritize those many tasks. Start by making a to-do list of the tasks that need to be done each day. Only include the essential, must be done by day's end, jobs. Don't waste time on the trivial tasks. Estimate how much time each job will require. Try not to under estimate, or you'll feel like you're running behind all day. However, be realistic about what you can achieve in the time given. Don't forget to allow for the unexpected; have a contingency plan. It's important to be flexible; don't get stressed out over interruptions in your schedule. Focusing on your priorities is extremely important. It's easy to get sidetracked with other less important tasks. Try to tackle the most important or most difficult task early in the day, when your mind is at its energetic peak. You're rested and raring to go. Jump right in and get going. It's too easy to put off that uncomfortably difficult job, day after day. Procrastination then sets in and you're in trouble. Be honest and ask yourself this question. Is this something I absolutely have to do or need to do right now? If not, push it to one side for later or if it's important, but not urgent, delegate it to someone else. For many tasks, small blocks of time will do. Fifteen minutes here, thirty minutes there, and you'd be surprised how much you can finish by day's end. Check off each task as you complete it. This will give you a wonderful sense of accomplishment. Get yourself a Day Planner or pocket calendar, and start keeping track of your obligations, tasks, commitments and goals. Update it regularly. Each night, make your to-do list for the next day, so you know precisely what you'll be working on. And remember what H. Jackson Brown, Jr. said. "Don't say you don't have enough time. You have exactly the same number of hours per day that were given to Helen Keller, Pasteur, Michaelangelo, Mother Teresa, Leonardo DaVinci, Thomas Jefferson and Albert Einstein."

Time...It is ever moving and so easy to lose track of. Whether you are an engineer, a supervisor, a counselor or a nurse, productivity is important. We are all controlled by cost-effectiveness and billable hours. In this article, we will discuss several time wasters and ways to increase your productivity. 1. Identify, eliminate, prioritize, delegate You cannot be expected to do everything. So often we feel so pulled in each direction that we do not get anything done. Make a list of everything you "need" to do and when it must be done. For some people this means a detailed description of what needs to be done and a daily schedule. For others, a list can be just that---a list. Keep three pages for each day: The things that MUST be done (i.e. pay the electric bill), things you would like to do (such as mow the yard) and things you will do if you have time (rearrange your sock drawer). From that list, eliminate anything that is not necessary, prioritize what is left and delegate whenever possible. When I ran a 24-hour facility, I often heard my counselors complaining that they did not have time to do this or that. I knew that my midnight person was watching television all night. We got together and I helped my employeesed identify things they could delegate to her. My father was an architect. He hated doing mundane things like copying blueprints or driving (yes, this was before CAD and email) the designs over to the engineer. He delegated those tasks to my step mother. 2. Translate your priorities into concrete goals, with component activities. For engineers, this is much like project management. THe only difference is that the project is your time. Break each goal into smaller steps needed to achieve the goal. Identify the requirements and resources you need related to each activity step and set beginning and ending times. This helps you organise for success and have what you need to move forward towards goal attainment. Pinpointing resources, setting deadlines and having a central contact person is especially important if accomplishment of your goal requires the cooperation or assistance of other people. 3. Evaluate ways you procrastinate. Once you are organized, have goals and resources, then failure to move forward is psychological. Provide rewards to yourself for working on the project for a defined period of time or until you achieve a set goal. For example, you can go play a round of golf after you work on the project for 1 hour. Identify reasons the task is in your best interest: it will help you get a promotion, make you healthier, make your spouse happier. Remind yourself of these to keep yourself motivated. Get a buddy.

Get Ahead with Time Management

Print out this quick tip to get ahead with time management and try it for one week to see how it works for you. It can take less than five minutes for you to get ahead of your projects, your schedule and your competition. Five Minutes in the Morning Do it first thing in the morning, maybe as you are enjoying a cup of coffee or sitting at your desk and mentally preparing for your day. Get a notebook and pen ready. Do not get distracted by email or phone. Prepare to donate five minutes or less of your time to yourself. Go ahead, you are worth it. Some people prefer to do this exercise at the end of each day and that is not a problem. I suggest doing this at the very beginning of each day because it sets the tone for the rest of your day. It is more effective to feel rushed by the desire to get started on your activities than to feel rushed by the distractions of what is really on your mind at the end of the day. Your List of Things to Do Tomorrow Many people find it effective to make a daily list of things to do today. It can be helpful in keeping track of important activities, meetings or chores that need to be completed. It also creates a feeling of accomplishment as items get checked off the list one by one. It is always nice to see progress. Starting today, we are going to kick progress into the next gear. We are going to start thinking about what we need to accomplish tomorrow. As you start each new day you will already have a list of things that you need to do today because you made it yesterday. You already have a jump start on your projects and your competition because you were already thinking about what you will do today. Furthermore, your mind had a chance to sort out some of the details on how you will accomplish your goals because you had time to think about them the day before. As you make your list for tomorrow, you will be able to reflect on how your decisions and actions today will contribute to your activities and goals for tomorrow. If you are planning to complete some paperwork, presentation, or interaction tomorrow then you may be able to do some of the preliminary research, analysis or preparation today. Planning for tomorrow will change the way that you think about your priorities and how you invest the quiet moments of today. Another important advantage of planning based on your list of things to do tomorrow is that many activities require collaboration with other individuals. By planning in advance, you can communicate and coordinate with other resources so those people can also plan and prepare accordingly. Urgent or Important? What is the difference between urgent and important? The urgent things are those milestones that must be complete by a scheduled deadline. The deadline may be today, tomorrow or several days in the future.

Where is the Time and Money?

An informal survey (by me) over the last two weeks has revealed an interesting statistic.
I asked almost everybody I spoke to (even strangers) if they had enough time. If they had enough time I asked if they had enough money.
Most said they had neither enough time nor money. A few (very few) had time but no money. Even fewer had enough money.
Then I asked if they knew anyone who had enough time and money. One person could name three people, but I do not think he knew them very well. He was one of the few who knew someone.
My wife named three people. All were retired. All had worked the same jobs most of their lives and had paid for their homes. One was her grandmother of 93, one was a single man of 84 and the other was a couple in their late 60's that lived in the same place all their lives.
Ouch! Can this be true? Do the majority of people not have time and money until they retire? Which brings up this question. Is it OK to have time and no money? Or is it OK to have money but no time?
Are we spending (literally) our whole lives chasing after time and money with little possibility of reaching that goal until late in our lives?
Why am I even writing about this? What is the point? Does it even matter that we seem to chase time and money our whole lives?
One thing that comes to mind is our kids. You know, the children that are growing up to lead the world, and solve the problems we are leaving to them. What are we teaching them by our actions? We aren't teaching them much directly because we are too busy!
Maybe I write this out of guilt. How many times have I told my boys I am too busy to listen, play, talk, watch a movie, read a book, and go outside or a thousand other things kids want to do?
Or maybe this is the same thing that attracts me so powerfully to the BeDoHave formula.
I have said that most people are Doing something to Have stuff so they can Be somebody. This is the formula we have been conditioned to accept since before we were born by our parents, peers, advertising and entertainment. DoHaveBe.
Do you see how we can never have enough stuff to be somebody because there is always more stuff to have? Under this formula we are scrambling, using all our time to earn money so we can buy stuff. Are we not using our time and money in order to be somebody? The big question is when are we going to be somebody? When will we have enough stuff?
Let's turn the formula around to BeDoHave. I think that might be the cure!
First we work on the Being ourselves. Who are you? Be that person first.
Next we find what it is we love to do. Do that with passion and joy. Give it everything you got!
Then comes the more difficult part. We must have faith in the Universal Energy that when you Be who you are and you Do what you love that you will Have what you will need.
I think the people who do have enough time and enough money are following the BeDoHave formula. Now I know what questions to ask for my next survey!

Being associated with something of interest will greatly increase your odds of success. If you have a passion about a certain subject, customers will sense it and be more motivated to buy from you.
The easiest method of determining a new business idea is to brainstorm. By asking yourself the following questions will elicit a series of hot and profitable business ventures.
What do you enjoy doing?
What is your current occupation?
Did you acquire specialized skills, knowledge and talents from your job?
Hobbies you enjoy?
How do you spend your free time?
What did you enjoy doing as a child?
What were your favorite subjects in school?

Also know as the PFBS equation, this statement can be your most valuable tool in identifying the needs and wants of your target market. It will show what products to market and how to sell them.
HOW A PFBS EQUATION WORKS.
Take a sheet of paper and write across the top: Problem, Feature, Benefit and Solution. Then make a list for each topic:
Problem: Make notes of the current problems or needs your target market faces. Later, you will provide solutions to these problems with your product.
Feature: List the various selling points of your product and what features set it apart from the competition. This is where you want to stress your competitive advantages.
Benefit: Now describe what benefit or reward each one of these features offer.
Solution: Finally you want to illustrate that purchasing your product will solve their problems, needs and wants.
Note: Answers to this equation will show you what products to offer and how to develop copy that will effectively sell these products to your target market.

One a recent trip overseas I discovered just how useful a currency converter could prove itself, especially when negotiating contracts, hotel rooms, and even paying the restaurant bill.
While traveling this year I've converted my money into 4 different currencies and, if you've ever traveled abroad, you know you lose money every time you change your money from one currency to another.
In an effort to save my own financial skin, I turned to the Internet to help me figure out the best conversion rates ahead of time and gauge how much cash I'd actually need for each trip.
In the process, I discovered a veritable "buffet" of helpful and just plain cool converters and tools online.
They help you do everything from knowing your buying power abroad to what time to ask for a wake up call halfway around the world.
** Currency Converter **
Log on to http://www.XE.com and you can estimate the exchange of your currency into virtually any of 180 currencies in the world, including: U.S. dollars, Yen, British Pounds, Australian dollars, Euros, and more.
Simply enter the amount of money you want to convert, choose the currency you want to convert from and to, then click the button.
Instantly you'll know the value of your money in another country based on the latest currency trading value available.
XE.com also offers a good FAQ section that explains how and why currency exchange rates vary along with information about currency markets.
XE.com gets their conversion data from a variety of sources around the world and, according to the site, updates their rates several times per day.
** World Clocks **
Log on to http://www.TimeAndDate.com to find a wealth of tools to help you get a global perspective not only of local times and dates, but also local holidays and the best time to plan meetings.

The first, "The World Clock," allows you to see the local time in most of the world's capital cities.
You can select "Full World Clock" for an even more comprehensive list of cities and their local times around the world.
I found the World "Meeting Planner" the most useful part of the site for me.
It allows you to put in your current time zone location and then choose up to 3 additional cities around the world.
The site will then give you a list of times that represent the best times to hold a meeting over the net or via phone or teleconference.
You can then log on to the "Calendar" function on the site, select the country, and instantly see if any local holidays will conflict with your meeting or visit.
It even offers a handy little calculator that allows you to calculate the exact number of days, hours and minutes between two dates. I felt a lot older when I discovered that more than 13,000 days passed since the day I was born.
The site even allows you to see a live countdown to New Years day so you can time your champagne consumption accordingly.

Teenagers- a Great Asset to Save You Money, Time, and Heartache!

When I was a young child I thought that my father knew EVERYTHING. It might have been true in my father's case, but now that I myself am a father (twelve times over) I see that this is as far from the truth as London is from Los Angeles! With the never ending technological and social changes it is almost impossible to be aware of all that is going on. But, do you know what, it really doesn't matter. Vickie L. Milazzo recently wrote in Entrepreneur.com that one of the ways that she grew her business 300% to be worth 12 million dollars was by not only listening to experts but also by listening to $8 an hour employees! Obviously she made the final decisions but she listened to EVERYONE'S ideas. Instead of spending lots of time researching what kind of car to buy, what is the best restaurant in town or even where you should shop, asks your teenagers. Here are a few areas where they can you money, time, and heartache. * Big Purchases. If you are planning to buy something expensive for the house, let's say a new dining room set, a new kitchen or a new home entertainment center then ask your teen to ask their friends (if they haven't already) or go on line to compare prices and quality between different brands. Ask them also to investigate which stores in your city have the best service. You'll be saving yourself a lot of time and, if you are like me, also a lot of money. (I usually lose my patience after I compare one or two stores.) * Home improvements. You'll be surprised what great ideas your teens have to fix up your house. They have seen all types of good ideas at their friends houses and they are not lazy to go on line to find better ideas and to compare prices. An added benefit is they might do it themselves! The other day, after I asked my son how to fix a leaking washing machine he told me that he'll take care of it. He saved me a good few hours and probably did a better job than me! * Family get togethers. Planning a holiday dinner for the whole family (cousins, parents, parent-in-laws etc.)? I'm sure your daughter will love to help you find new recipes that she heard from her friends. She canalso look through magazines for original ways to set the table. An added benefit you might gain is that since she helped plan the dinner she will help more willingly. * Vacations. Researching where to take the family on a vacation could take a long time. Your teen can research for you hotel prices, plane schedules and fun and interesting activities in that area. Tell them the time that you are planning to go and basically where and see what they come up. If you feel uncomfortable to discusss with them the financial limitations, tell them to look at different price ranges and then you'll decide in the end. Remember, like all CEO's, you make the final decision. You'll be amazed at the cheap flights and hotels that they will discover. Also, if you choose to listen to what they suggest and it doesn't work out, they won't be able to complain since it was their suggestion! * Younger children. The area in which they are most helpful is to help you with younger children. As long as you know that they really care about their younger siblings (don't pay attention to their petty fights) then they will help you find out what the younger brothers and sisters are really up to and with whom they really hang out and what they feel is a good intervention. Remember, they understand better than us what, nowadays is considered "normal" behavior and what is bizarre. This can save you much heartache and trips to the school's counselor. Just remember, the younger sibling can never catch on that you discuss him with the older siblings. You have to make sure not to use any information you receive from the older sibling in a way that the younger one will figure out how you know it. One last word. Don't only listen to their facts and figures and totally disregard their opinions. You surely should decide what to buy, where to vacation, and what to do with your other child but show your teens that you appreciate and respect what they did for you. If you do this, I'm sure, you will probably be pleasantly surprised at how much they helped you.
